Who is CHW B.V.?

CHW B.V., located at Hulsenboschstraat 33, 4251 LR Werkendam, the Netherlands, registered with the Dutch Chamber of Commerce under number 42147679, is a company that sells, rents out and services business coffee machines and water dispensers.

Which personal data does CHW B.V. collect and process?

On the CHW B.V. website you can view the machines and services we offer, use the machine finder or savings check, and request a quote. When you send us a quote request, we ask you to provide the following (personal) data:

• Name
• Company name
• Phone number
• Email address
• Your question or message
• The machines you are interested in and whether you want to buy or rent

When you request advice or a calculation through the machine finder or the savings check, we process your answers and the outcome, such as the number of employees, cups per day and the recommended model, in addition to your contact details.

When you send us emails, WhatsApp messages or other messages, we keep those messages. We may ask you for personal data relevant to the situation at hand. This allows us to process your questions and respond to your requests.

Purposes and legal bases for using the collected information

Your information will be used for the following purposes and on the following legal bases, and will not be kept longer than strictly necessary to achieve the purposes for which it was collected. Where the law prescribes retention periods, these take precedence. In some cases no fixed period applies and only the general rule of the GDPR applies. CHW B.V. will determine a retention policy on a case-by-case basis.

Using your data is necessary for:

• answering your question and preparing a quote;
• performing a contract to which you are a party;
• informing you about changes to our services and products;
• providing your data where required by law and/or regulations;
• providing your data to third parties to perform the contract;
• sending our newsletter and documentation.

In a few incidental cases the information may be shared internally when this is necessary to provide our services. Employees of CHW B.V. are obliged to respect the confidentiality of your data.

Where is your personal data stored?

Your data is stored on our own secure servers or on those of a third party. CHW B.V. uses the following processors:

• HubSpot — to receive and manage quote requests, machine finder and savings check results, and customer contact;
• Vercel — to host this website and for anonymous, cookieless visitor statistics;
• Google — for Google Analytics, only if you give consent (see Cookies);
• WhatsApp (Meta) — only if you contact us via WhatsApp yourself.

We have data processing agreements with these parties. Some of them are based in the United States, which means your data may be processed outside the European Economic Area (EEA). This only happens with appropriate safeguards, such as the EU-U.S. Data Privacy Framework or the European Commission's standard contractual clauses.

How is your personal information protected?

CHW B.V. takes the protection of your data seriously and takes appropriate measures to prevent misuse, loss, unauthorised access, unwanted disclosure and unauthorised modification. If you feel your data is not properly secured or there are indications of misuse, please contact us at privacy@chwcoffee.nl.

• Anonymous visitor statistics from Vercel — without cookies and without identifying you as a visitor.

Viewing, correcting or deleting your data

You have the right to access, correct or delete your personal data. You also have the right to withdraw any consent you have given, to object to the processing of your personal data by CHW B.V., and the right to data portability. This means you can ask us to send the personal data we hold about you in a computer file to you or to another organisation you name.

You can send a request for access, correction, deletion or transfer of your personal data, or a request to withdraw your consent or object to processing, to privacy@chwcoffee.nl.

To make sure the request was made by you, we may ask you to identify yourself. We will respond as quickly as possible, and in any case within four weeks.
